Exhibited at ADIPEC 2026? You Can Reclaim the UAE VAT You Paid

ADIPEC 2026 (2–5 November, Abu Dhabi) brought more than 2,250 exhibitors from over 170 countries to ADNEC. If your company was one of them, you spent heavily to be there — stand construction, hotels, freight, local transport, staff expenses. Here’s what most foreign exhibitors don’t realise: the 5% UAE VAT sitting inside those costs is often reclaimable.
You don’t need a UAE office, a local trade licence, or VAT registration here to claim it. You simply need to file correctly, through the right scheme, before the deadline. That’s where BCA Business Consultancy comes in.
How much money are we actually talking about?
UAE VAT is charged at 5% on most business expenses. For a typical ADIPEC exhibitor, the recoverable spend adds up fast:
- Stand design, build and rental — usually the largest single cost
- Hotel accommodation for your delegation
- Freight, shipping and customs handling of exhibits
- Local transport, logistics and on-site services
- Marketing, printing and promotional materials sourced in the UAE
On a modest AED 150,000 of exhibition spend, that’s AED 7,500 of VAT you may be leaving on the table. Scale that across a larger presence and the refund becomes material — often enough to cover a meaningful share of your participation cost.
What you can and can’t reclaim
Most standard business costs carry recoverable input VAT, but a few categories are blocked under UAE law — notably certain entertainment expenses and some motor-vehicle costs. A short eligibility review at the outset tells you exactly which of your invoices qualify, so nothing is submitted that shouldn’t be and nothing recoverable is missed.
The scheme: Foreign Business VAT Refund
The UAE Federal Tax Authority (FTA) operates a Business Visitor Refund Scheme that lets qualifying foreign businesses reclaim input VAT incurred in the UAE. The key conditions:
- You are not registered for VAT in the UAE and have no place of business here
- You are registered as a business in your home country
- Your home country offers reciprocal VAT refunds to UAE businesses (most of Europe, the UK, and several others qualify)
- The claim meets the minimum of AED 2,000 in total VAT
Reciprocity is the condition that catches people out. The UAE only refunds businesses from countries that would refund a UAE business in the same position — the UK, Germany, France, the Netherlands and many others are on that list, but not every country is. We confirm your eligibility before any work begins.
Why work with a Gulf-based advisor
Filing from outside the region means navigating FTA portals, documentation standards and tight deadlines from a distance. As a licensed Bahrain consultancy working across the GCC, BCA handles UAE and Bahrain VAT recovery on the ground — the same team, both jurisdictions, one point of contact.
The deadline that catches people out
This is the part to act on now. VAT incurred during the 2026 calendar year can only be claimed in a single annual window:
Applications open 1 March 2027 and close 31 August 2027.
There is no second chance. Miss that window and the VAT on your ADIPEC spend is lost. The businesses that recover smoothly are the ones that organise their invoices now, while the event is fresh — not the ones scrambling next August.
Why use a consultancy instead of filing yourself?
The scheme is straightforward in principle and unforgiving in practice. Claims are rejected for missing tax invoices, non-compliant documentation, an incorrect reciprocity assessment, or a simple deadline slip. A rejected claim usually can’t be re-filed until the following year.
BCA Business Consultancy manages the entire process for foreign exhibitors:
- Eligibility check — we confirm your country qualifies and your spend is recoverable
- Invoice review — we make sure every expense is supported by a valid UAE tax invoice
- Full claim preparation and submission to the FTA
- Follow-through until the refund reaches you

Frequently asked questions
Do I need a UAE company to claim?
No. The scheme is specifically for foreign businesses with no establishment in the UAE.
What ADIPEC costs are recoverable?
The 5% VAT on stand build and rental, hotels, freight and logistics, local transport, and UAE-sourced marketing materials is typically recoverable.
Our sales at ADIPEC were handled separately — does that matter?
The refund is about the VAT you paid on your costs, not your sales. Those are assessed separately.
What if we also exhibited elsewhere in the GCC?
VAT paid in other GCC states follows that country’s own rules and deadlines. BCA can advise on Bahrain and UAE claims together.
How long does a refund take?
Once the window opens and a complete claim is filed, the FTA processes refunds over the following months. Filing early in the window helps.
